Supplier Code of Conduct

 

Foodfreighters UK LTD has a structured system in place to ensure that all suppliers, including subcontractors, comply with applicable local labour laws and health & safety regulations.

1. Supplier Pre-Qualification and Approval.

 

Before any supplier or subcontractor is approved, we conduct a formal assessment that includes:

Verification of legal business status and licences and insurances

Review of labour and employment practices

Evidence of compliance with relevant health & safety regulations

Assessment of previous audit results or certificates (e.g., ISO, HACCP, GMP, etc.)

Only suppliers meeting our minimum compliance criteria are added to our approved supplier list.

2. Contractual Requirements

 

All suppliers and subcontractors are required to sign:

Contract clauses mandating compliance with:

Local labour laws

Wages and working hour’s regulations

Health & safety legislation

Anti-slavery and ethical trade requirements

Failure to meet these standards can result in suspension or termination of the contract.

 

3. Ongoing Monitoring & Audits

 

We use multiple methods to ensure ongoing compliance:

Periodic on-site audits and inspections

Review of risk assessments, safety documentation, and training records

Spot checks on worker documentation (IDs, right-to-work, working hours records)

Monitoring of health and safety performance indicators (accident reports, near misses, corrective actions)

Higher-risk suppliers may be subject to increased audit frequency.

 

4. Worker Engagement & Reporting

 

We encourage workers—including subcontracted or agency workers—to report concerns via anonymous reporting channels.

Any concerns raised trigger an investigation and corrective actions.

 

5. Corrective Action & Continuous Improvement

 

If non-compliances are identified, suppliers must submit a Corrective Action Plan (CAP) with clear timelines.

We monitor completion and follow up to confirm resolution.

 

6. Training & Support

 

Relevant supplier personnel receive guidance on:

Labour law requirements

Workplace safety standards

Ethical employment practices
